Project Management Steps

Breaking a project into executable steps helps move it from overwhelming to manageable.  Every project manager needs project training to gain a full understanding of the basic steps in project management and how to apply those steps develop a project schedule.  The essential steps required to manage a project and bring it to successful execution are:

Before you do anything else to develop a project schedule, you’ll need to define what the project is supposed to accomplish. Defining the proposed accomplishments includes outlining the project objectives and also defining what is and is not included in the project.  By setting down the expectations and objectives, you’ll be able to gain identify any points needing more definition prior to project initiation.

Step #2:  Create a List of Required and Available Resources

Project training teaches that the next logic step would be to determine the people, capital and equipment necessary to develop a project schedule.  Most project managers will not have direct supervision or control of the required resources, so it is important for that they identify the ease or difficulty of managing required resources through communication with organizational or outside managers.

Step #3:  Establish the Timeline

Almost of equal importance to understanding the scope of the project is to define when the project needs to be completed. Although project managers have at least some flexibility in terms of how time is used during the project, the ultimate deadline is usually set in stone.  Part of the importance of developing a project schedule is that it helps determine factors such as labor costs, which may, for example, skyrocket if you need to use overtime hours to meet a deadline(s).  Project training can help project managers weigh costs against budget limitations.

Step #4:  Bring Together Members of the Project Team

Now that some of the basics of the project have been outlined it is time to gather the people who will be involved in the project and start communications.  The people you are bringing together are experts in their individual areas.  It is your job to manage them, but as project training will teach you, it is just as important to incorporate their knowledge to develop a project schedule that is accurate.

Step #5:  Outline the Big Pieces of the Project

What are the major project milestones or project pieces?  Project training should help you identify the milestones, but if, for some reason, these pieces are unclear to you, you can begin by asking the members of the project team.  When outlining the steps, it is a good idea to list them in order of chronology to help in the development of a project schedule.

Step #6:  Outline the Smaller Pieces within the Bigger Pieces

Once the larger pieces needed to develop a project schedule, project training specialists recommend outlining what steps will be necessary to accomplish each.  Establishing a sequence of events for each item on the project schedule will help you remember all the essential steps.  Also, depending on the size and scope of your project, you may need to break the smaller pieces into to still smaller pieces.

Step #7:  Create an Initial Plan

Once you are confident you have identified all the pieces/steps necessary to accomplish your task it is time to bring them all together and develop a project schedule.  Project training will help you identify what happens first and if any steps can be accomplished concurrently.  Also at this point you will need to decide who is going to be responsible for the accomplishment of each step and how much time will be needed.   It may be helpful to use this information to begin to develop a Gant chart or other formal means of documenting the work break down schedule.  There are a variety of software programs available that can help with this process.

Step #8:  Create Your Plan

After you have documented your initial plan it is important to gather feedback from your project management team as well as any other project stakeholders.  Once you have gotten their input, you can modify timelines and schedules and to develop a finalized project schedule.

Step #9:  Execute and Manage Your Plan

Developing a plan schedule is vital to ensuring that a project is completed, but every plan is fluid and there will be times when additional adjustments are necessary.   When changes are needed, you need to be flexible enough to accommodate them, but also need to keep the scope of the project and the available resources top of mind.  Although at the start of the project it will not seem as though you are making much progress, this is the time to start monitoring what your team members are doing.  As project training will help ensure that any issues are caught early and that they do not become major obstacles to project completion.

Step # 10:  Documentation and Communication

Whenever you need to make a change to your project baseline plan, you will need to write the change down as well as why the change was necessary.  Additionally, each time a new requirement is added, it should be documented along with where it initiated from.  Project training specialists recommend that additional notations should be made if it impacted either the timeline or budget.  As a project manager it is your job to make sure that all project stakeholders and team members are kept informed of changes as well as keeping them informed as to the progress of the project.
